Purpose:
The Update Task workflow step is designed to keep Asana tasks in sync with Gravity Flow workflows. Unlike the Create Task step, this feature does not create a new task—instead, it updates an existing one.
1. Primary Purpose #
Ensures that the task created for the current entry is updated as the workflow progresses. Any changes—such as due dates, assignments, or descriptions—are reflected in Asana without creating duplicates.
2. Selecting the Task to Update #
- Update the Task Created by This Entry (Default & Preferred)
Automatically references the task(s) created by the same entry in the workflow. If multiple tasks were created (via feeds, steps, or multiple assignees), all will be updated. - Pick a Task from Another Entry
Select a form and an entry from that form to update the task(s) created by it. This is less common, but useful for cross-form task management.
3. How It Works #
- Once the target task(s) are identified, the step functions similarly to the Create Task feed.
- No fields are required. Only the fields you configure will be updated; all others remain unchanged.
4. Available Update Options #
- Task Name – Supports merge tags for dynamic values (cannot be cleared).
- Assignee – Provides the same assignment options available in a standard feed, with the added ability to clear existing assignees.
- Due Date – Options include relative to step date, relative to current due date, field value, fixed date, or clear due date.
- Projects – Add to projects (with optional section), remove from projects. If both actions are selected for the same project, it will be removed.
- Custom Fields – Map values as in a standard feed, with the option to clear supported field types.
- Description – Replace, append to, or clear the description.
- Tags – Add or remove tags. If both are selected for the same tag, it will be removed.
- Collaborators – Add or remove collaborators. If both are selected for the same user, they will be removed.
- Completion – Optionally mark the task complete.
5. Best Practices #
- Make sure the workflow includes a task before using this step—either by running a feed earlier or through a Create Task workflow step.
- Use conditional logic if updates should only occur in specific cases.
- Remember: when multiple tasks were created by the same entry, all linked tasks will be updated with the configured changes.
6. Premium Feature #
The Update Task workflow step is available only in the Premium version of the plugin.
