Asana Task Settings Reference

This guide explains the core settings for configuring Asana task creation.


Task Name #

  • Defines the title of the Asana task.
  • Supports Gravity Forms merge tags such as {Name (First):6.3}, {form_title}, or for dynamic content.
  • Example: New Submission from {Name (First):6.3} uses the first name submitted in the form, in the task title.

Due Date Options #

  • Relative: Set relative to the form submission (e.g., +3 days for three days after submission).
  • Mapped from Entry: Pulls a date directly from a form field—like a project deadline captured in the form. Can be relative as well.
  • Fixed Date: Every task is assigned the same static date (e.g., 2025-12-31).
  • None: No due date is assigned.

Assignees #

  • Only users visible to the connected OAuth user will show up in the dropdown.
  • Supports multiple selections; each selected person gets their own copy of the task.

Sections (Premium Only) #

  • Organize tasks within specific Asana project sections.
  • Only one section per project can be assigned.
  • Clicking the checkbox to show sections will reload the page to retrieve the necessary data.

Projects #

  • Displays only the projects that the connected user has access to.
  • Supports multi-project assignments for a single task.
  • If you enable “Show Sections” or “Show Custom Fields,” the project selector becomes a regular multi-select (losing the enhanced multi-select UI).

Description #

  • Rich-text supported, including merge tags (e.g., {comments:4}, 16/10/2025).
  • Some complex formatting may not render properly—see the tooltip in settings for limitations.

Tags & Collaborators #

  • Only available items that the connected OAuth user can access will be displayed.
  • Multi-select lists let you add tags for organization and collaborators for additional team visibility.

Custom Field Mapping (Premium Only) #

  • Tap into Asana’s custom field capabilities to map form fields directly.

File Uploads (Premium Only) #

  • Attaches files uploaded through Gravity Forms directly to Asana tasks—great for including documents, images, signed forms, or any attachment with the task.
  • The setting will only be displayed if the form has a file uploads field.
